1. Who we are
Polysource Australia Pty Limited (ABN 24 615 920 655), trading as Polysource Australia, of Wollongbar, New South Wales 2477. In this policy, "we", "us" and "our" mean that company. "You" means anyone who uses this website or contacts us through it.
2. What we collect
Information you give us
- Enquiry form. Your name, business name if you give one, email address, phone number if you give one, what you are enquiring about, and the message you write.
- Email and phone. Whatever you choose to tell us when you email or ring, including your contact details and details of the job.
Information collected automatically
- Analytics. Pages visited, time on page, the page you came from, approximate location derived from your IP address, device and browser type, and a cookie identifier. See section 5.
- Server logs. Our hosting provider records the IP address, time, requested page and browser type of each visit, as every web server does, to run and secure the site.
We do not collect sensitive information (health, religion, political opinion and the like) and we ask you not to send it to us.
3. Why we collect it
- To answer your enquiry, quote a job and, if you go ahead, supply and invoice it.
- To keep records of enquiries and orders as a business must.
- To understand which pages are useful and which are not, so the website improves.
- To keep the website running and secure.
We do not sell personal information and we do not share it with anyone for their marketing.
4. Who else holds it, and where
Running a website involves other companies. These are the ones that touch personal information collected here, what each does, where it stores the data, and how long it keeps it.
| Who | What they do | Country | Retention |
|---|---|---|---|
| Our email provider | Receives and stores enquiries sent to sales@polysource.com.au and our replies | Australia and the United States, depending on the provider's data centres | For as long as we keep the correspondence, see section 6 |
| Website hosting provider | Serves the pages and keeps standard server logs | United States, with content served from locations closer to the visitor | Logs are kept for a short operational period, typically under 30 days |
| Google Analytics 4 (Google LLC) | Website analytics, see section 5 | United States | User level data 14 months, then aggregated |
Where a provider stores data outside Australia, we take reasonable steps to make sure it is handled to a standard consistent with the Australian Privacy Principles, but those providers operate under their own laws and policies. If we change any of these providers we will update this table.
5. Cookies and analytics
This website uses Google Analytics 4 to count visits and see which pages are read. It sets cookies on your browser for that purpose and sends usage information to Google. We have IP anonymisation and Google's advertising features turned off. You can stop analytics cookies by blocking third party cookies in your browser, by using a browser extension that blocks trackers, or by installing Google's own analytics opt out add-on. The website works the same either way.
The enquiry form does not set cookies of its own. We do not use advertising cookies or retargeting pixels.
6. How long we keep it
- Enquiries that lead to an order are kept with the order records for the period Australian tax and company law requires business records to be kept, which is currently seven years from the transaction.
- Enquiries that do not lead to an order are kept for up to two years so we can pick up the conversation if you come back, then deleted.
- Analytics data is kept by Google for 14 months at user level, then only in aggregate.
- Server logs are kept by our hosting provider for a short operational period, typically under 30 days.
7. Security
The website is served over an encrypted connection. Enquiries reach us by email, which is as secure as email. Our accounts are protected with strong passwords and two factor authentication where the provider supports it. No system is perfectly secure, and if we ever became aware of a breach that was likely to cause you serious harm we would tell you and the Office of the Australian Information Commissioner promptly.
8. Access, correction and deletion
Email sales@polysource.com.au and ask. We will tell you what personal information we hold about you, correct anything that is wrong, or delete it, within 30 days. We may need to confirm you are who you say you are first. The only time we will keep something you have asked us to delete is where the law requires us to keep a business record, and we will tell you if that applies.
9. Complaints
If you think we have handled your personal information badly, email us at the address above and say what happened. We will look into it and reply within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au. Nothing here stops you going to the Commissioner directly.
10. Marketing
We do not run email marketing lists and we do not add enquirers to one. If that ever changes, we will only send marketing to people who have asked for it, every message will say who it is from and how to stop it, and stopping will take effect within five business days.
11. Links to other sites
This website links to a small number of other websites, including P&N Golf Constructions and the Office of the Australian Information Commissioner. Those sites have their own privacy practices and this policy does not cover them.
12. Changes to this policy
When we change this policy we will change the version number and date at the top and note what changed. We will not apply a change to information we already hold in a way that would surprise you without telling you first.
